Affordable Luxury Hawaii Travel : Package Terms and Conditions

SAMPLE TERMS AND CONDITIONS: Please note that these terms and conditions are representative of most Hawaii travel packages. All travel purchases have terms and conditions with details specific to each sale. If you do not see the terms and conditions with your tentative booking, please ask for the details.

TRAVEL DOCUMENTS: Unless we tell you specifically otherwise, your fully paid itinerary/receipt will be sent to you by e-mail. This, along with your photo identification, is the only travel document you will need. All your travel arrangements will be e-ticketed. This applies to flights, car rentals, hotels and activities. You will be notified if any tour or activity operators require vouchers, which we will provide.

CONFIRMATIONS:

FLIGHTS: Please reconfirm all flights at least 24 hours prior to departure. Flight chedules are completely beyond our control and may change suddenly. Be sure to keep yourself informed.

HOTELS AND CAR RENTALS: Your hotel and/or car rental company will have your reservation. Check-in with your specified vendor for your service, giving them your name and confirmation number. If you have any questions, please feel free to contact us. In the case of an emergency, you may also contact the wholesaler for assistance, or simply ask the service provider to do so. We work exclusively with providers who are are willing and used to working together to resolve any issues which may arise.

POLICIES:

You are responsible to read this document and your itinerary to determine the cancellation/change period and penalties for your trip.

Names must be spelled exactly as they appear on your photo identification. Name changes are not permitted at any time on any flights. These are requirements of Homeland Security.

Mainland flights are non-refundable and subject to restrictions. Changes to date of travel can be made only after paying the airline/wholesaler penalties of approx $150. Fee varies by airline, plus any fare difference at the time of change. Wholesaler and agency may also charge a service fee.

Inter-island flight changes after ticketing are subject to a $30 fee, inclusive of tax per person, plus the difference in the ticket price, if any.

If hotel and car is cancelled within 72 hours prior to departure, a minimum of one night hotel and one day car, plus applicable taxes will be charged. Note that some properties have longer cancellation periods of up to two weeks. The hotel cancellation period will show on your itinerary.

PRICE POLICY :

Prices are subject to change without notice until paid in full.

REFUND POLICIES:

  • All refund requests must be made in writing. Requests must be received prior to originating travel date.
  • After travel begins, no shows will be charged in full. Partially used packages are totally NON-REFUNDABLE.
  • Changes in length of stay will be subject to a $20 processing fee.
  • Refunds are normally processed within two (2) weeks. Refunds may be subject to delay based upon the vendors’ ability. Credit card companies may not reflect the refund on your statement immediately. Refunds are subject to fees from the supplier as described in the itinerary, and to a service fee of $20 to this agency.
  • For cancellations for fully unused packages received at least 3 business days prior to departure, a full refund will be credited back to original credit card within two (2) weeks, minus a $50 per person fee, plus any penalties from the providers. Some hotel vendors require a cancellation notice beyond 72 hours prior to check in date or full charge may be assessed.
  • For cancellations received within 72 hours prior to departure, there will be a penalty of (minimum) one night room/car plus any applicable taxes and a $60 fee per person. Some hotel vendors require a cancellation notice beyond 72 hours prior to check in date or full charge may be assessed.
  • Once purchased, insurance costs are totally NON-REFUNDABLE.

AIRLINE POLICY:

  • Name changes are not permitted at any time.
  • Normal check-in is at least 90 minutes prior to scheduled departure time for inter-island flights and 2 hours for mainland and international flights.
  • Check in with photo identification.
  • Check with airline for baggage restrictions.
  • Please reconfirm flights within 24 hours of departure.
  • Normal airline and security policies remain applicable.

HOTEL POLICY:

  • Normal check-in is 3:00 pm for most properties.
  • Normal check-out is 11:00 am.
  • Incidental charges incurred by the client are not included with the package and are the sole responsibility of the client.
  • Resort fees, where applicable, are also not included in the package cost.
  • The hotel will ask for your credit card at check-in to cover incidentals.

CAR RENTAL POLICY: Driver must be 25 years or older with a valid driver's license and a major credit card in the driver's name. An underage drivers fee of $25/day per driver ages 21 to 24 will be assessed by the car rental company. Hawaii law requires driver and all passengers to use a seat belt and requires child restraint seats for all children under 4 years old and less than 40 pounds; these are available for rent from the car company. All extra fees and miscellaneous taxes are the responsibility of the client.
For Hertz only: driver must be over 25 years old

Miscellaneous taxes and other fees may apply including Hawaii General Excise Tax of 4.166% tax, Hawaii Rental Vehicle Surcharge of $3 per day, Vehicle License Fee of up to $1 per day and Airport Concession Fees of up to 12%.
